Browse files on a project

Find, open, and download documents attached anywhere within a project from the Job record's Files subtab.

When to use this

Whenever you want to see all the documents associated with a project — drawings, certificates, signed contracts, supporting photos, vendor bills, anything attached anywhere within the project — without having to open each related record individually. The Files subtab is the single place where everything stored against the project (via File Storage) is gathered together and grouped by category.

Prerequisites

  • The Files subtab is visible on Job records (see Enable the project files subtab)
  • The role you're using has at least View permission for File Storage
  • The project has at least one file attached anywhere within it

A step-by-step Scribe walkthrough for browsing project files is being recorded. Track its status in the Scribe register (internal).

  1. Open the Job record.
  2. Click the Files subtab.
  3. The subtab lists every file stored against the project, grouped by category. Categories are populated when files are uploaded — common categories include drawings, certificates, photos, contracts, and supporting documents.
  4. Click any file name to download it (the link is a short-lived signed URL — see Gotchas).
  5. Use the search/filter controls within the subtab to narrow the list when a project has many files.

What success looks like

  • The Files subtab lists every file connected to the project from any of its linked records.
  • Files are grouped by category, with category names matching what was selected when each file was uploaded.
  • Clicking a file opens or downloads it without redirecting through any external portal — the link is served direct from a content delivery network.

Gotchas

  • Download links expire after 48 hours. Each link is generated on demand and signed for a short window. If you copy a link out of the subtab and paste it into a chat tool, the link will stop working after 48 hours. Re-open the subtab to refresh the links.
  • Files attached during create won't appear immediately. File Storage links files to the record's internal ID — the record must be saved before any of its files appear in the subtab. New records won't have files until they're saved at least once.
  • Files on records not yet linked to the project. The subtab aggregates files via the project link on each related record (e.g. a bill linked to the project). If a record isn't linked back to the project, its files won't appear. Check the related record's project field if you expected a file to show up but it isn't there.
